Sensitive information
Some onboarding or coaching information may reveal health, mental-health, disability, neurodivergence, trauma, family or other sensitive circumstances. We request only information relevant to suitability, safety and delivery of the service. Where GDPR special-category data is intentionally requested, we rely on your explicit consent in addition to the applicable Article 6 legal basis. You may withhold optional sensitive information, although this may limit the support we can safely provide. You may withdraw consent for future processing at any time; withdrawal does not affect processing already lawfully carried out.

When you use the website, we and our technology providers may receive technical and usage information such as IP address, device and browser information, approximate location, cookie identifiers, referring pages, pages viewed, timestamps and interaction data. Non-essential analytics and advertising cookies are used only in accordance with the choices made through the website cookie controls.

5 Calls recordings and group confidentiality
Individual or group calls may be recorded and/or transcribed using Zoom and Fathom when participants have been informed in advance and the applicable permission has been obtained. Recordings may be used to provide replays, session notes, service continuity or internal quality support for the relevant program. Group recordings may contain the names, images, voices and contributions of other participants. Access is limited to authorised team members and the eligible program audience.
A coaching-call recording is not permission to use a participant’s story, image, voice or words publicly. Testimonials, case studies, social-media clips and promotional uses require separate, specific authorisation. Participants must not download, copy or share another participant’s confidential contribution except where the program expressly permits a personal-use download.
6 Service providers and recipients
We disclose personal data only where necessary to operate the business, provide the requested service, comply with law or protect legal rights. Depending on the service you use, recipients may include authorised team members and the following categories of provider:
| Provider or category | Function |

| Circle | Course delivery, community accounts, posts, events and program access |
| Jotform | Applications, onboarding, assessments and other forms |
| Keap | Contact management, transactional messages and email marketing |

Each provider processes data under its own contractual and privacy framework. We do not sell personal data.
7 Artificial intelligence and automated decisions
We do not currently offer an AI coaching chatbot or submit members’ free-text coaching conversations to a generative-AI chatbot as part of the program. Some service providers may use automated functionality for limited operational purposes, such as call transcription in Fathom. We do not use solely automated decision-making that produces legal or similarly significant effects about you.
8 International transfers
Some providers or authorised personnel may process data outside France or the European Economic Area, including in the United States. Where required, transfers are protected by an adequacy decision, the European Commission’s Standard Contractual Clauses, the EU-US Data Privacy Framework where applicable, or another lawful safeguard. You may contact us for information about the safeguard relevant to a particular transfer.
9 Retention
We keep data only for as long as needed for the purpose described, then delete or securely archive it where a legal obligation or legal claim requires continued retention. The following periods are our general rules; a shorter or longer period may apply where law, an active dispute or the specific program requires it.

| Enquiries and unsuccessful applications | Up to 3 years after the last meaningful contact |
| Client account and service records | For the client relationship, then generally up to 5 years where needed for contractual claims |
| Invoices and accounting records | 10 years, as required by French commercial and accounting law |
| Marketing data | Until unsubscribe or objection; otherwise generally up to 3 years after the end of the client relationship or last meaningful prospect contact |
| Assessment and coaching information | For as long as necessary to deliver and support the program, then reviewed for deletion or restricted archiving |
| Call recordings and transcripts | For the period communicated for the relevant program or purpose, then deleted when no longer required |
| Cookie and analytics data | According to the cookie settings and provider-specific retention period disclosed through the cookie controls |

11 Your rights
Subject to the conditions of applicable law, you may request access to, correction of, deletion of or restriction of your personal data; object to processing based on legitimate interests or to direct marketing; request portability of data you provided where applicable; and withdraw consent at any time. You may also define instructions concerning your data after death where French law permits.

You may lodge a complaint with the Commission nationale de l’informatique et des libertes at cnil.fr or with another competent supervisory authority.
12 Security
We use reasonable organisational and technical safeguards designed to limit unauthorised access, loss, misuse or disclosure. Access is limited according to role and need. No internet transmission or storage system can be guaranteed completely secure, so please avoid sending information that is unnecessary for the service.
13 Community posts and information about others
Content posted in a Circle community space may be visible to other members who have access to that space. Members must respect confidentiality and should not post another person’s sensitive or identifying information unless they are entitled to do so.
